This Privacy Policy describes how information is collected, used, and shared through the Hobbs member app for iOS and Android (the "App"). The App is published by TMG.Help, Inc., and the Hobbs platform the App connects to is operated by Hobbs Flight Ops Platform LLC ("Hobbs," "we," "us," "our"). Hobbs is the party responsible for the information described in this policy and is your point of contact for it. Hobbs is a management platform for aircraft-rental organizations — flying clubs, flight schools, and FBOs (each, an "Organization"). The App is invite-only: you use it because an Organization that uses Hobbs provisioned an account for you. Your Organization determines what records it keeps about you; Hobbs operates the App and processes that information on your Organization's behalf and to provide the service to you. This policy governs the App specifically; the separate policy at hobbsapp.com/privacy governs the pre-launch marketing site.
Account and contact information. Your name, email address, phone number, mailing address, and date of birth. These come from you or from the Organization that added you, and are used to operate your membership and verify eligibility.
Pilot, compliance, and training records. Pilot certificate and rating details, endorsements, currency, flight reviews, medical status, and training/checkride progress. Where your Organization requires it, this includes images of documents you or your Organization upload — for example a government ID, a medical certificate, or a pilot certificate — for eligibility and compliance verification.
Operational content you create. Photos of aircraft meters (Hobbs/tach) and documents you attach during a flight closeout, and maintenance squawk reports, which may include photos and video with audio when you choose to record a squawk video. The App uses your device camera and photo library for this, and the microphone only while recording a squawk video.
Payment information. Dues and balances are paid through Stripe in your device's external browser. Card and bank details are handled by Stripe — they do not pass through the App or our servers. There is no in-app purchase.
Identifiers and device data. Your account and authentication user ID, and — if you enable notifications — a push-notification token. Our hosting providers also automatically record basic technical data such as IP address, device/app version, and request timestamps for security, debugging, and reliability.
No location and no motion data in this version. The current App does not request or collect precise/coarse location or device-motion data, and contains no advertising or third-party analytics/tracking SDKs. (A future release may add optional, consent-gated, advisory Flight-Data features that use location and motion only during an active flight; if we add them, we will update this policy and the App Store privacy label before they ship.)
We use the information above to: operate your membership and the App's features (scheduling, flight closeouts, documents, training, maintenance squawks, and messaging); verify pilot eligibility and regulatory compliance; send you transactional messages and reminders (in-app, email, and — if you opt in — SMS); support safety and maintenance workflows; process payments through Stripe; and secure, debug, and improve the service. We do not use your information for advertising, and we do not sell it.
To save you typing, images you upload — such as document, certificate, meter, and receipt photos — may be sent to our AI sub-processor (Anthropic) to automatically extract fields (for example, a certificate number or a meter reading). This processing is to provide the feature to you; the images are not used to serve advertising.
Your Organization. Administrators, dispatchers, and instructors at the Organization that provisioned your account can see the records associated with your membership, as needed to run the Organization.
Service providers (sub-processors). We share information with vendors who operate the platform on our behalf, only to provide the service:
We may also disclose information if required by law, to protect safety or our rights, or in connection with a corporate transaction. We do not sell personal information and do not share it for cross-app advertising or tracking.
If you allow notifications, we send transactional and reminder notifications (bookings, messages, maintenance, and safety updates). You can turn notifications off at any time in your device settings.
We keep information for as long as your membership is active and as needed to provide the App. Because Hobbs holds regulated financial and FAA-adjacent records, some information is retained after you stop using the App as required by your Organization's obligations and applicable law. When information is no longer needed, we delete or de-identify it.
You can view and update much of your profile within the App. To request access to, correction of, or deletion of your information — or to exercise privacy rights available to you under applicable law — contact us at legal@hobbsapp.com, or contact your Organization's administrator for records your Organization controls.
You can request account deletion in the App at Account → Delete account. Because the App holds regulated financial and FAA-adjacent records, a deletion request is recorded and completed by staff (settle any balance → end membership → erase where permitted) rather than by instant self-serve erasure; records we are legally required to retain are kept for the required period and then deleted. We use industry-standard measures — encryption in transit (HTTPS), authenticated access, and access-controlled storage — to protect your information. No system is perfectly secure, but we work to protect information appropriately for its sensitivity.
The App is a business tool for aircraft-rental organizations and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
Hobbs operates in the United States, and information is processed and stored in the United States by us and our sub-processors. By using the App, you understand your information will be handled there.
We may update this policy as the App evolves. We will post the updated policy here with a new effective date and, where appropriate, provide additional notice in the App.
